6.  Export and Import

Export is a feature in ProjectWise that allows users to create copies of files for editing outside of ProjectWise. It should be used only for sharing files with other individuals with access to the PW system or when using a program that is not integrated with PW. There are two types of exports:

  1. Managed exports
  2. Unmanaged exports

The first type, managed exports, ("Export") locks the file to all other users; it can be re-imported later. Export allows edits to files outside the PW environment. The document must be checked in, and the user must have Read, File Read, and File Write privileges.

The second type, unmanaged exports (or "Send to Folder"), creates an unmanaged local copy. It makes a copy of the file in a user-selected folder and severs the link to PW. The term "unmanaged copy" refers to the inability of PW to manage the copy.

IMPORTANT:
Under the "Send to Folder" option (unmanaged export), the user is responsible for managing the copy of the exported file to avoid confusion with files in PW.

Users can export individual documents or an entire folder or project. Once outside of PW, a "zip" application can be employed to send them for editing or posting them to an FTP site. After Exporting, the document's icon (in the directory listing) changes to a diskette. Other users will see a lock icon but can still copy it out or open it as read-only.

Exporting Files

Highlight the file for export, Right Click to open the document menu, and select "Export ..."

The Document Export Wizard opens. Click Next.

Choose the export type. Click "Browse ..." to navigate to the new file location. Then Click Next.

IMPORTANT:
Make note of the Export folder location.

Click Finish.

The file is now exported. Note the disk Export icon symbol next to the exported document name. Documents exported under the "Send to Folder" option are unmanaged and therefore the status is unchanged. "Exported" files are tracked under Folder and File Properties.

Importing Files

Highlight the file to be imported, Right Click for document menu, and Select Import.

Enter a comment if needed and Click OK.

Exporting Folders

Highlight the folder to be exported, Right Click for folder menu, and Select Export ....

Note that Versions can only be exported using the "Send to Folder" option.

The Folder Export Wizard opens. Choose export action, then Click Next.

The define export settings dialog opens. The following fields are available:

  • Export folder: Specify the location for the selected documents. You can either click Browse and find the export location, or type the location. As a best practice, maintain a regular temporary folder on the local drive. If the specified export folder does not exist, it will be created upon export. The Folder Export Wizard remembers the last location to which you exported and displays it in the Export folder field. If you have since deleted the previously-used folder, Click Browse for a prompt to create the folder. Enter the folder name and Click OK or Click Cancel to select a different export folder.
  • Create subfolders for empty folders (Optional): If the selected folder or project contains empty subfolders, use this option if you wish them to be created in the target folder. This may be used when sharing projects with offsite personnel or contractors to maintain a directory structure.
  • Create subfolders for selected folders (Optional): Use this option if you want the selected folder or project to become a subfolder of the target folder. If the option is off, documents at the root of the selected folder, and any subfolders, are exported to the root of the target folder. The user will generally check this option.
  • Use folder description as folder names (Optional): Use this option if you want the descriptions instead of names of selected folder and subfolders created in the target folder. This option is generally not selected.
  • Export child documents which are not included in the exporting hierarchy to the special folder (Optional): If you are exporting master documents and you want to make sure that all reference documents are included, use this option. Browse to select an export folder (different from the target export folder specified in the Export folder field). Use this option if you wish to keep reference documents separate from the main files that are exported. This option is only for reference documents outside of the selected folder's directory structure. If a master document's reference document(s) exist in a subfolder of the selected folder, the reference document(s) will automatically be included in the export.
  • Rewrite reference attachments to new paths (Optional): This option will rewrite paths so exported documents open with the correct path. The user will generally use this option.
  • Export shareable documents as shared: Not currently used.

After completing the dialog box, click Next.

Importing Folders

After exporting folder(s), the included documents will have icons like diskettes (see below). Other users will see lock icons. Locked item icon

To Import files, Highlight the desired files , Right Click for the document menu, and select Import.

Enter a comment if needed and click OK.

Only documents will be imported from an exported folder operation. Users should maintain and delete any unnecessary folders in the export folder directory on the local drive.
